Connecting Rillet

The Tabs and Rillet integration lets Tabs sync invoicing, customer, and accounting data with Rillet.

Once connected, Tabs can:

  • Sync customers between systems
  • Push invoices and credit memos to Rillet
  • Import products, chart of accounts, and bank accounts from Rillet
  • Push journal entries during month-end close workflows

Rillet connects with an API key rather than an OAuth sign-in.

Tabs supports invoice and journal entry export with Rillet. Contracts do not sync, so billing terms are configured in Tabs.

Before you start

Confirm the following:

  • You have admin access in both Tabs and Rillet
  • You can reach Rillet’s API key settings
  • The products you plan to bill already exist in Rillet
  • Close Management is enabled in Tabs if you plan to sync journal entries to Rillet

Rillet calls them products; Tabs calls them items. Tabs imports your Rillet products on connect and maps each one to a Tabs item, so create anything you plan to bill in Rillet first. Tabs does not create products in Rillet.

Rillet products are always non-revenue products, which is what stops Rillet from recognizing revenue that Tabs is already recognizing. They arrive carrying a deferred account but no revenue account, so you assign revenue accounts on the Tabs side. See Step 4.

Step 1: Generate an API key in Rillet

In Rillet:

  1. Go to Organization Settings
  2. Open API Keys
  3. Generate a new API key for Tabs
  4. Copy the key and store it somewhere secure

Step 2: Connect Rillet in Tabs

In Tabs:

  1. Go to Integrations
  2. Select the Rillet integration tile
  3. Paste the API key you generated in Rillet
  4. Click Connect

Once connected, Tabs automatically imports:

  • Customers
  • Products
  • Chart of accounts
  • Bank accounts
  • Historical invoices

Step 3: Configure cash and reconciliation accounts

Configure these on the Rillet integration page in Tabs. They are required only if you use Tabs for cash application.

Cash account

The Rillet account where incoming invoice cash is posted.

Reconciliation accounts

The accounts used for invoice write-offs and reconciliation workflows, such as bad debt and bank fees.

Step 4: Set revenue accounts on your items

Because Rillet products are always non-revenue products, the items Tabs imports arrive with a deferred account but no revenue account. There is nothing for Tabs to source a revenue account from, so set them yourself before your first close.

  1. Go to Integrations → Items
  2. Set each item’s Revenue account, individually or in bulk with Upload mappings

An item with no revenue account set shows a DEFAULT badge and falls back to your default earned revenue account. An item left pointing at a deferred account makes revenue entries post deferred against deferred and cancel each other out.

Step 5: Validate the integration

Validate the following before going live.

Customer sync

  • Create or update a customer in Tabs
  • Confirm the customer appears in Rillet

Rillet has no parent and child customer relationship, so every customer synced from Rillet arrives in Tabs as a top-level record.

Invoice sync

  • Send a test invoice from Tabs
  • Confirm the invoice appears correctly in Rillet

Only sent invoices push. Marking an invoice as “Sent off Tabs” does not push it to Rillet. An invoice also cannot be sent while any of its lines points at an item that is not linked to a Rillet product.

Credit memo sync

  • Apply a credit memo in Tabs
  • Confirm it syncs to Rillet

Rillet does not support partial credit application, so Tabs auto-applies a credit memo only when its amount is at or below the invoice total. A 100creditmemoisnotautoappliedtoa100 credit memo is not auto-applied to a 90 invoice.

Journal entry sync

  • Run a month-end close workflow in Tabs
  • Confirm journal entries appear correctly in Rillet

Rillet journal entries are grouped one per customer per period, so a period with 50 active customers produces 50 separate entries rather than one combined entry. Every entry needs a customer attached, and an entry missing one is held back until the customer is set.

Book close

Tabs reads your last closed accounting period from Rillet on every sync and uses its end date as the book close date. Reopen periods in Rillet rather than in Tabs, and Tabs follows on the next sync. See Close Management for how the book close date is enforced.
